ENVIRONMENT:
A dynamic Energy Company seeks a highly driven PMO to fill a 12-Month Contract where you will effectively manage the IT PMO function by ensuring all projects adhere to established governance frameworks, processes, and tools, ultimately aiming to facilitate quality decision making and efficient resource management. Key responsibilities include standardizing project execution, providing documentation and guidance on Project Management practices, and establishing metrics to measure performance. The successful incumbent must have PMP Certification from the Project Management Institute with 4-5 years Project Management experience which must demonstrate monitoring, controlling, and reporting on multiple projects or programs (with teams based in multiple locations).
DUTIES:
Establish and facilitate Project Governance / Compliance by
- Ensure Project Managers (PMs) are consistently utilizing the proper PM tools, adhering to established PMO framework and process (PMBOK, Project Control Plan, Project Management Plan, etc.) and are operating as a cohesive unit.
- Ensure project and/or portfolio governance from a point of view of overall budget, resource utilization, benefits measurement, and Risk/ Issue Management.
- Manage and maintain all Project documentation in a central repository.
- Maintain the Contracts Register and the record of Purchase Orders, Works Orders, Statements of Work, Supplier details and Supplier payments.
- Act as the interface with Contracting & Procurement and Finance.
- Maintain the PMO Leave Register.
- Accountable for ensuring that any project logistics is co-ordinated and implemented.
- Maintain, distribute, review/QA project template submissions.
- Ensure that all aspects of monthly Project reporting are accurate and up to date.
- Develop and maintain consolidated budget and spend report for entire project portfolio.
- Record and track consolidated travel budget across project slate.
- Responsible for setup and close out per project, resource allocation, cost centre allocation, etc.
- Develop, manage, and communicate financial reporting for consolidated project portfolio.
- Analyse project and/or portfolio performance.
- Develop independent, objective, accurate, clear, and concise reporting.
- Identify general themes in project and/or portfolio performance and recommend solutions.
- Analyse the overall effectiveness of Project Management across the portfolio and identify and mitigate areas of Risk.
- Ensure prioritization and alignment of initiatives and that overall portfolio of projects meets businesses strategic and financial goals.
- Report on committed projects, pipeline, and capacity.
- Maintain effective relationships to source and develop high-calibre talent including contract rate management.
- Ensure resource plans are established across the portfolio to successfully deliver the portfolio of projects.
- Create and maintain a Resource Plan (including Organogram representation).
- Manage resource contracts and ensure optimal resource management in conjunction with PM and Leads.
- Identify and co-ordinate initiatives to manage PMO staff wellness and motivation.
- Develop and maintain a presentation view of the integrated project portfolio as a mechanism to promote visibility of the entire portfolio to all IT staff and relevant and Business stakeholders (including high level milestones and dependencies).
- Develop/Maintain templates for Risk Assessment and presentation.
- Develop/Maintain templates for Issues tracking and management.
- Manage central repository for Risk Matrix per project.
- Manage central repository for Issues Log per project.
Qualifications
- Professional Certification such as PMP from the Project Management Institute (Essential).
- 4-5 Years Project Management experience (Essential).
- Experience must demonstrate monitoring, controlling, and reporting on multiple projects or programs (with teams based in multiple locations).
- Risk Management assessment, mitigation tools and techniques.
- Portfolio budgeting and management.
- Project value assessment and management including IRR, NPV, ROI techniques.
- Quality standards application and assessment.
- Proven experience in the development of project management and PMO processes.
- Microsoft Office suite (Word, Excel, PowerPoint).
- Microsoft Office Project.
- Presentation skills.
- A tertiary qualification in Business, Technology or related field is desirable.
