The South African National Biodiversity Institute SANBI requires a highly motivated and service driven person with a passion
for good administration and nature to take on a post in its Biosystematics Research and Biodiversity Collections Division
based in Durban.
The position requires an individual with:
• a tertiary qualification in Office Administration, Secretarial or related • two years relevant administrative experience •
a working knowledge of the Public Finance Management Act and processes • financial accounting ability • advanced planning,
problem-solving and decision making skills • ability to establish priorities to meet deadlines and adapt as they change •
superior written and oral communication skills with a strong command of the English language • respect for strict compliance
and confidentiality • evidence of increased duties and responsibilities in an organisation.
KEY RESPONSIBILITIES WILL INVOLVE:
Financial and process compliance: ensuring compliance relating to requirements that include procurement, expenditure and cash
flow, processing petty cash and banking, tracking income and payments associated with the Centre, become familiar with Supply
Chain Management procedures, source and secure reputable suppliers onto the SCM database • HR processes: staff attendance
register, leave records, monthly salary slips, key registers, ensure compliance with health and safety and emergency
procedures • Communication: draft, proof read and issue internal and external communication; coordinate planners,
communicating schedule of team activities; minute-taking; event planning • Travel arrangements: arrange domestic and
international travel and accommodation for team members • Filing system: keep records of all appropriate electronic and
physical administrative information relevant to Centre’s functioning (e.g. contracts, agreements, meeting records, reports,
correspondence) • Asset Management: maintain an up to date asset record, arrange for disposals • Front desk presence:
maintain an informed presence • Relief duties for receptionist. Financial Administrative Support.
Additional recommendations: Familiarity with FLOPAC or similar accounting packages, previous work in a research or academic
environment will be an added advantage.
