- Matric essential or nearest qualification equivalent plus a secretarial diploma
- Tertiary qualification advantageous
- Previous client facing experience
- Proficient in English and other African languages
- Computer Literate
- 3 - 5 years working experience in a reception area currently or in a call centre environment
- Specialised course in Call Centre / Reception or related
- Should be residing in Johannesburg

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Execute a high level of front line service delivery and engagement with clients, internal staff and event coordinators through high energy levels and dynamism.
- To align Reception to the business service strategy
- Answer switchboard, answers incoming telephone calls, determines purpose of calls, and forward / transferring calls to appropriate personnel or department and responding to queries.
- Reads and comprehends simple instructions, short correspondence, and memos; Writes simple correspondence; Presents information in one-on-one and small group situations to customers, clients, and other employees.
- Answers questions about organisation and provides callers with address, directions, and other information.
- Provide first line support for facility requirements, conference rooms booking and boardroom coordination).
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Retrieves messages from voice mail and forwards to appropriate personnel.
- To create an experience of ease and personal focus for clients visiting our offices
- To enable a seamless operation between business and clients/visitors through cohesive teamwork.
- To facilitate internal clients in achieving their service objectives through flexible and supportive delivery

- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Directing visitors to appropriate individuals.

- Offer and coordinate beverages to clients and visitors.
- Keep track of regular visitors and develop a customised experience based on individual needs.
- Setting up meetings for staff members, clients and service providers / suppliers.
- Updates appointment calendars.
- Taking messages in the absence of staff in the department.
- Placing calls on behalf of management.
- Handling correspondence of mails, receiving, routes mail, sorting, maintains and distributing to the appropriate department.
- Typing of correspondence, reports, minutes and any other documentation as
- Dispatching of newsletters or other publication of different department.
- Prepares travel vouchers.
- Orders, receives, and maintains office supplies.
- Performs other clerical duties such as filing, photocopying, scanning, e-mail, faxing and collating.
Location: Hyde Park
Gross Salary: R13,000 – R15,000 per month
