Overview:
The Receptionist serves as the first point of contact for visitors and callers, providing exceptional customer service and ensuring a welcoming atmosphere. Responsibilities include managing the front desk, answering and directing calls, handling inquiries, and performing various administrative tasks to support office operations.
Key responsibilities:
- Welcome and greet visitors and direct them to the appropriate person or department.
- Answer, screen, and forward incoming phone calls.
- Handle and respond to inquiries from clients, visitors, and staff.
- Manage the reception area, ensuring it is clean and welcoming.
- Receive, sort, and distribute mail and packages.
- Maintain office security by following procedures and controlling access.
- Assist with administrative tasks, such as scheduling appointments, data entry, and filing.
- Maintain and update contact lists and office records.
- Support office operations and staff as needed.
- Coordinate with office management to ensure smooth front desk operations.
- Assist in making bookings on an ad-hoc basis.
- Assist in other office tasks and initiatives.
- Professionalism: Always maintain a professional appearance and demeanour. Represent the organisation positively when interacting with visitors, clients, and staff.
- Communication: Exhibit strong verbal and written communication skills. Communicate effectively and politely in person, over the phone, or via email.
- Customer Service: Provide exceptional customer service. Greet visitors warmly, address inquiries promptly, and ensure a positive experience for all clients and visitors.
- Organization: Display excellent organisational skills. Manage front desk activities efficiently, including handling calls, scheduling appointments, and maintaining records.
- Attention to Detail: Pay close attention to detail in all tasks, from managing the reception area to handling mail and packages.
- Multitasking: Effectively handle multiple tasks simultaneously. Prioritise tasks to ensure smooth and efficient front desk operations.
- Adaptability: Respond to changing demands and schedules with flexibility and adaptability. Be willing to take on additional responsibilities as needed.
- Reliability: Demonstrate dependability and consistency in performing job duties. Be punctual, reliable, and steady at the front desk.
- Problem-solving: Approach challenges with a positive and solution-oriented mindset. Handle difficult situations or irate visitors calmly and efficiently.

- Matric certificate or any equivalent qualification
- Previous experience as a receptionist, front desk representative, or similar role preferred
- Proficiency in MS Office (MS Excel, MS Word, and MS Outlook)
