Overview:

The Receptionist serves as the first point of contact for visitors and callers, providing exceptional customer service and ensuring a welcoming atmosphere. Responsibilities include managing the front desk, answering and directing calls, handling inquiries, and performing various administrative tasks to support office operations.

Key responsibilities:
  • Welcome and greet visitors and direct them to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls.
  • Handle and respond to inquiries from clients, visitors, and staff.
  • Manage the reception area, ensuring it is clean and welcoming.
  • Receive, sort, and distribute mail and packages.
  • Maintain office security by following procedures and controlling access.
  • Assist with administrative tasks, such as scheduling appointments, data entry, and filing.
  • Maintain and update contact lists and office records.
  • Support office operations and staff as needed.
  • Coordinate with office management to ensure smooth front desk operations.
  • Assist in making bookings on an ad-hoc basis.
  • Assist in other office tasks and initiatives.

  • Multitasking: Effectively handle multiple tasks simultaneously. Prioritise tasks to ensure smooth and efficient front desk operations.
  • Adaptability: Respond to changing demands and schedules with flexibility and adaptability. Be willing to take on additional responsibilities as needed.
  • Reliability: Demonstrate dependability and consistency in performing job duties. Be punctual, reliable, and steady at the front desk.
  • Problem-solving: Approach challenges with a positive and solution-oriented mindset. Handle difficult situations or irate visitors calmly and efficiently.
  • Team Collaboration: Work collaboratively with administrative staff and office management. Coordinate effectively with other departments to support overall office operations.
Experience and Skills required:
  • Communication Skills: Strong verbal and written communication skills
  • Telephone etiquette: Excellent in handling calls professionally and promptly
  • Customer Service: Excellent customer service and interpersonal skills
  • Organizational Skills: Ability to organise tasks and manage time effectively
  • Computer Skills: Proficiency in MS Office and familiarity with office software
  • Knowledge of business processes and procedures
  • Experience in secretarial duties and document management
Qualifications:
  • Matric certificate or any equivalent qualification
  • Previous experience as a receptionist, front desk representative, or similar role preferred
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook)
  • Strong communication and interpersonal skills
  • Professional appearance and demeanour
  • Excellent organisational skills and attention to detail
  • Ability to handle multiple tasks simultaneously
