Reservations Coordinator - Cape Town
Department: Reservations
Reports to: Reservations & Flights Manager
Location: Cape Town
Region Accountable for: Southern & East Africa
To support and be a key member of the G Adventures Reservations team by completing the day-to-day reservations duties throughout the Southern & East Africa region. This role is ultimately responsible for ensuring that all reservations tasks are completed efficiently and to the highest possible standard, attention to detail, customer service, teamwork and outstanding communication skills are key to the success of this role. This role is a hybrid role based out of South Africa, where a minimum number of days as set by the region, is required in the Cape Base office.
Responsibilities
- Brand and Region Agnostic (may be required to work across multiple regions/brands)
- Assist in ensuring the G Adventures brand and other client brands are properly represented throughout the region
- Administrative support for the Global Sales and Base Camp Operations teams (answer enquiries, handle tasks as required etc)
- Ensure last minute booking requests and changes are handled and communicated efficiently.
- Work on special projects as required.
- Working closely with our Tour Ops team to ensure smooth operation of all tours and itineraries.
- Working closely with the CEO (Tour leader) team to ensure trips run effortlessly and correct information is provided.
- Supporting reservations & Flights manager (and others) to negotiate reduced cancellation charges from suppliers.
- Assist finance department with invoice queries and related tasks.
- Supporting the contract specialist with special requests and projects.
- Working closely with the buying & contracting team to ensure that all rates and pricing is up to date on our internal systems.
- Prompt response to phone calls, emails and monitoring of inboxes
- 1+ years experience in the travel industry
- Excellent Computer skills
- Highly proficient in English both written and spoken
- Familiarity with Travel Industry Practices
