Assistant

This role needs to provide general assistance with regards to administrative tasks, travel arrangements and support to the staff in the Engineering department.

Your role

Travel Coordination (Local and International)
  • Travel arrangement is an important responsibility in this specific role, as staff from engineering are regularly required to travel internationally. This will consist of the whole process;
  • Obtaining approval for the travel with required forms and information
  • Action travel arrangements for Project related travel including Visa applications
  • Process bookings for airplane tickets, accommodation and transport
  • Ensure all cash advances are administered and ready for travel
  • Process and finalise S&T claims, and process authority to travel in IFS
  • Ensure travel packs are ready for each trip
  • Assisting with travel claim once the traveler has returned
General Administration:
  • Plan and coordinate departmental meetings in conjunction with Management Team
  • Plan, coordinate and manage conferences all logistical requirements in conjunction with Management Team
  • Organising meetings as and when required
  • Assistance with preparing letters, presentations and reports
  • Load IT and Facilities service desk requests and ensure follow through
  • Arrangements and bookings of meetings including booking boardrooms, Minutes/Agenda preparation
  • Administrative assistance to the rest of the team, which can include loading of requisitions and arrangements of payments
  • Monitor stationary supplies and place order when required
  • Follow-up on status of timesheets
Your profile

Skills:
  • International Travel Arrangement experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Knowledge of office management
  • 2 years proven work experience as a Secretary or Administrative Assistant
  • Strong multitasking and time management skills
  • Excellent written and verbal communication
  • Ability to be proactive and take the initiative

Qualification:
  • Office Administration Diploma or Certificate
