The purpose of a Senior Contracts & Compliance Administrators primary responsibility will be to ensure that the supply chain operations and activities are compliant with Minopexs policies. It will play a vital role in promoting ethical conduct, sustainable practices, and risk mitigation within the supply chain. Focus will be on monitoring and assessing suppliers, conducting audits, developing policies and procedures, and fostering a culture of compliance throughout the organisation..
Duties and Responsibilities
Contract Administration
- Contract Management: Manage the full lifecycle of contracts, including drafting, reviewing, negotiating, and finalizing agreements for various mining projects. Ensure compliance with company policies, legal requirements, and industry standards.
- Documentation and Reporting: Maintain accurate contract records, databases, and documentation. Prepare regular reports on contract status, milestones, and risks. Provide timely updates to stakeholders and management regarding contract-related matters.
- Contract Negotiation: Collaborate with internal and external stakeholders to negotiate and finalize contract terms and conditions. Identify potential risks, conflicts, and issues, and develop appropriate strategies to mitigate them.
- Contract Modifications and Amendments: Facilitate contract modifications, extensions, and amendments as necessary. Coordinate with relevant parties to ensure timely implementation and documentation of changes.
- Relationship Management: Foster positive working relationships with clients, suppliers, contractors, and other stakeholders. Serve as a primary point of contact for contractual matters, addressing queries, resolving disputes, and maintaining professional communication.
- Contract Performance Evaluation: Monitor and evaluate contract performance, including deliverables, timelines, and quality standards. Identify and address any deviations or non-compliance issues. Collaborate with project teams to ensure effective contract execution.
- Contract Closeout: Coordinate the timely and accurate closure of contracts, including conducting final reviews, obtaining necessary approvals, and facilitating contract closure documentation.
- Compliance and Risk Management: Monitor contract compliance and identify areas of improvement. Ensure adherence to regulatory requirements and internal policies. Identify and assess potential risks associated with contracts and implement risk mitigation strategies.
- Develop and implement supply chain compliance strategies, policies, and procedures to ensure adherence to local and international laws, regulations, and industry standards.
- Conduct regular audits and assessments of suppliers, contractors, and vendors to evaluate their compliance with relevant policies, standards, and contractual requirements.
- Monitor and analyze changes in legislation, regulations, and industry best practices to identify potential compliance risks and recommend appropriate actions to mitigate them.
- Collaborate with cross-functional teams, including procurement, legal, and environmental departments, to ensure compliance requirements are incorporated into supply chain activities.
- Conduct due diligence on potential suppliers, including background checks, financial assessments, and sustainability evaluations.
- Investigate and resolve compliance-related issues, such as ethical violations, corruption allegations, and supply chain disruptions, in a timely and efficient manner.
- Maintain accurate and up-to-date records of compliance activities, including audit findings, corrective actions, and overall compliance performance.
- Collaborate with external stakeholders, such as regulatory bodies, industry associations, and community representatives, to stay informed about industry trends and emerging compliance requirements.
- Prepare reports and presentations on compliance performance, risks, and improvement opportunities for senior management and relevant stakeholders.
- Supplier vetting and onboarding. Loading all new vendors for all Minopex subsidiaries onto Sage.
- Manage supplier data in the system.
- Ensure B-BBEE certification of suppliers are updated. Manage and report on preferential procurement targets.
- ESD/CSI Compliance coordinate and manage ESD Partner.
- Grade 12
- CIPS Qualification preferred.
- Bachelor's degree in supply chain management, business administration, law, or a related field
- More than 5 years extensive experience supply chain management, compliance, or related roles within the mining industry.
- Proven experience in conducting audits, risk assessments, and due diligence processes. Strong knowledge of contract management principles, legal requirements, and industry best practices.
- Excellent written and verbal communication skills, with the ability to effectively communicate complex contract terms and negotiate agreements.
- Attention to detail and the ability to work independently, prioritize tasks, and meet deadlines.
- Proficient in contract management software and Microsoft Office Suite.
- Strong analytical and problem-solving skills, with attention to detail.
- Solid organizational and time management abilities, with the capacity to handle multiple priorities simultaneously
