Job Description
My client is seeking a highly organized, professional, and detail-oriented Personal Assistant to provide top-level support to the Director. The ideal candidate must have exceptional interpersonal skills, be proactive, and able to handle a fast-paced environment with a high degree of responsibility. This is a full-time in-office role that requires flexibility to work after hours when necessary. The ability to answer calls from the Director at any time is critical.
Qualifications
- A relevant diploma or degree in Business Administration, Secretarial Studies, or a related field is preferred.
- Minimum of 4 to 5 years of experience as a Personal Assistant or in a similar executive support role.
- Additional certifications in office management or administrative support will be an advantage.
- Drivers Licence and Own Vehicle
- Proven experience as a Personal Assistant or in a similar role supporting senior executives.
- Excellent organizational and multitasking abilities.
- Strong interpersonal and communication skills.
- Ability to work after hours and be available for urgent requests from the Director.
- Discretion and confidentiality are essential.
- Own vehicle and valid drivers license required.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and anticipate the Directors needs.
- Positive attitude and proactive approach to tasks
- Provide comprehensive administrative support to the Director, including managing their schedule, arranging appointments, and handling confidential correspondence.
- Be available to answer phone calls from the Director promptly, even outside regular office hours.
- Prepare documents, reports, and presentations as required.
- Manage travel arrangements, including flights, accommodation, and itineraries.
- Act as a liaison between the Director and internal/external stakeholders, maintaining a high level of professionalism in communication.
- Assist with personal tasks and errands when needed.
- Maintain and organize office systems and files.
- Handle ad-hoc tasks and projects as assigned by the Director.
Flexibility with working hours is required.
