Site Coordinator

We are seeking a highly motivated and very detailed oriented person to fill the role of an On-Site Coordinator at our client location in CAPE TOWN, SOUTH AFRICA. This role will be the liaison between the client and the field team at the CAPE TOWN site location. This person will support the field team with logistical and technical support for the duration of the project.

Overview:

For this Participant based study, the Site Coordinator will be required to be on site 5 days a week for the duration of the Study. You will manage all aspects of projects, including but not limited to, participant recruitment efforts, cost, and overall profit margin. Act as liaison between client and various departments within the Company. Coordinate all components of the study from the beginning to the end.

Essential Duties And Responsibilities
  • Must be on Site 5 days a week for Duration of Study, some weekend work may be required.
  • Confirm project parameters, specifications, dates, etc. and oversight of one study site.
  • Assist with scheduling entire operation for their assigned location.
  • Oversee the process of recruiting participants and collaborate with Managers to address any issues that may arise in this aspect.
  • Supervise the facility set-up procedure to guarantee that the room(s) are arranged according to client directives.
  • Continuously assess on-site operational efficiency and its evolving status.
  • Ensure the upkeep of study files, including the documentation of all client communication records.
  • Conduct regular monitoring of the study to identify issues and provide suggestions to ensure the client receives high-quality service and data.
  • Generate, assess, and forward reports to the Project Director.
  • Serves as a bridge between the client and the company to ensure that projects are efficiently managed, completed on schedule, and stay within the allocated budget.
  • The Site Coordinator must be on standby (required to be "on-call") and available before and after business hours to handle client and internal inquiries regarding their projects (a requirement of this position is to wear a pager or cell phone and respond to pages or calls per the "On-Call Policy").
  • In the absence of the Site Coordinator, approved backup coverage must be arranged to handle messages and calls, as authorized by the Project Director.
  • Must be bi-lingual (must speak professional English and local language)
Non-essential Functions
  • Support the Project Manager in arranging weekly staff conference call meetings.
  • Assist in the arrangement of focus rooms, which may involve relocating chairs, tables and equipment.
  • Collaborate with external field services and interviewers when required.
Supervisory Responsibilities
  • Direct oversight of all staff members at their assigned study site.
  • Ensure that projects are conducted within the budget constraints and in alignment with client requirements.
  • Provide support in training and supervising recruiters and/or hosts as needed.
Qualifications

EDUCATION And/or EXPERIENCE
  • A college degree or equivalent, along with a minimum of three years of relevant experience or an equivalent combination of education and experience.
  • Bachelor's degree in Business Administration, Operations Management, or a related field (or equivalent work experience).
  • Strong customer service orientation, multitasking skills, and meticulous attention to detail are essential.
  • Prior customer service experience and a background in technology are both advantageous.
  • Proven experience in operations coordination or management, preferably in a manufacturing or industrial setting.
  • Strong leadership and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Knowledge of safety regulations and compliance standards.
  • Proficiency in both Google Suite and Microsoft Suite is a fundamental requirement.
Language Skills
  • Proficiency in comprehending documents like operational and maintenance instructions, as well as the capability to compose routine reports and correspondence.
  • Effective communication with both clients and organization staff is required.
Mathematical Skills
  • Proficiency in performing arithmetic operations, including addition, subtraction, multiplication, and division, across various units of measurement, using whole numbers, common fractions, and decimals.
  • Capability to calculate rates, ratios, percentages, means, and averages.
  • Competence in applying algebraic formulas and interpreting bar graphs.
REASONING ABILITY
  • Proficiency in resolving complex issues, adeptness in data analysis, and a strong aptitude for logical reasoning are essential.
  • The capability to decipher diverse datasets is required.

  • Project Management: 2 years (Preferred)
  • Market Research: 2 years (Preferred)
  • Participant-based research studies: 2 years (Required)
  • Retail Experience: 2 years (Preferred)

Timeline:

Salary:
  • $18, 500 RAND (ZAR) per month salary (paid semi-monthly). Overtime paid on a daily rate.
