Excellent admin skills working alongside the service department, professional and good customer handling ability as well as a good team player
A strong and mature person with at least 5 years’ experience in a service environment is a must.
Duties:
- Daily banking – allocating payment to customers account
- Assisting with debt collections
- Working hand in hand with service department
- Responsible for petty cash
- Dealing with customer queries and complaints
- Courtesy calls to customers
- Processing warranties and claiming from supplier
- Processing quotations of servicing or repairs for customers machines
- Raising all invoices to customers for machine repairs
- Processing daily internal and external invoices
- Assessing job cards and assessments thoroughly
- Processing credit notes
- Ordering of parts for machinery
- Organising Christmas gifts for Service Department customers and suppliers
- Processing of monthly recurring invoices and make certain P.O. number reflecting is accurate
- Updating maintenance contracts onto Excel spread sheet and update on system
- Ordering of employee uniforms
- Monitoring of workshop staff/Service Technicians uniforms
- Ordering of water canister
- Update monthly standby list and email to relevant Director
- Monitor internal usage of parts as per maintenance contract
- Monitor cost discrepancies
- Printing daily update of breakdown/delivery schedule
- Responsible for quoting customers who damage machinery and getting P.O. number
- Assisting with stock take/van stock/work in progress figures
- Budgets for service department
- Help reduce the load of the Service Manager.
Salary +- R16,000 pm (which will be reassessed after the completion of the probationary period), pension and an unguaranteed 13th cheque
