The Departmental Co-Ordinator for the Talent, BBBEE and Learning department will be responsible for providing a wide range of administrative, project, transactional and administrative support of a responsible, confidential and complex nature to ensure a seamless and consistent delivery to all clients and stakeholders.
Education & Experience:
- This position is only open to South African Citizens
- 2-Year Diploma in HR / BBBEE
- Or studying towards a tertiary qualification in HR / Learning / BBBEE
- Minimum of 2 years experience in a projects co-ordination, analyst or administration role
- Track record in office management (emails, typing, minutes, diary management, etc.) and meeting co-ordination
- Demonstrated experience in communicating and dealing with multiple contractors, and stakeholders

- Provide administrative support and respond to queries received by the department (including responding to e-mails, mail and telephone enquiries), escalating or redirecting any issues identified in areas of Employment Equity, SED, Learning and Talent.
- Allocate and reconcile supplier invoices correctly and resolve all queries and authorization as required
- Liaise with vendors and ensure all documentation is in order and complete, and co-ordinate the loading of vendors
- Submit expense claims to the Finance department as per company policy and procedures.
- Identify, classify, maintain and protect all confidential files, documentation and sensitive information consistent with record handling in line with legislative regulations for auditing purposes
- Troubleshoot and resolve first line queries and issues with various stakeholders, received by the department, escalating where required
- Schedule and co-ordinate the annual SISCDT Committee meetings, and consolidate and distribute packs to all trustees in advance of the meeting
- Co-ordinate all central office SED and other event campaigns and functions, including creating awareness posters, registration, logistical arrangements, etc.
- Co-ordinate accommodation, invite and travel logistics for various meetings as required both internally and externally
- Co-ordinate, consolidate and provide administrative support on departmental projects, meeting minutes in all areas of BBBEE, newsletters, memos, project plans, etc. and follow through on outstanding issues and action lists from minutes
- Complete reports such as the BBBEE Commissions report and distribute to relevant parties
- Send out meeting/event invitations in advance (within reasonable time period to accommodate delegates).
- Book meeting venues according to meeting/event needs/requirements number of people, equipment, times, access to floor, accessibility, refreshments, and time frames.
- Monitor progress of SED and other projects and track volumes of project costs and payment of fees against a pre-defined budget to ensure costs are aligned with agreed contract terms and there is no disruption to projects / progress
- Co-ordinate logistics and be the point of contact for the planning of BBBEE audits
- Assist in the capturing and management of data into various HR related systems as required e.g. as part of annual mandatory grant plans, reports, etc.
