Job description

We are searching for a Talent Acquisition Specialist to help recruit qualified individuals for our company. In this role, your responsibilities are to create postings and advertisements for openings and utilise various digital platforms to source talented candidates. You will use an applicant tracking system to follow them through the process and HRIS software to aid recruiting and onboarding management. You must have several years of human resources experience to qualify for this position. You should also know basic office software, such as Microsoft Outlook.
 
Job Description:
As a Talent Acquisition Specialist, you will provide critical recruiting support to the People Operations team by managing the expectations and requirements of candidates, hiring managers, and other stakeholders. You will be responsible for ensuring that all activities related to the recruitment process are always progressing effectively and efficiently and updating stakeholders as appropriate.
 
Position of the job in the organisation:
The successful candidate will report directly to the Head of People Operations.
 
Principal responsibilities:
 Talent Identification and Recruitment Strategy:
  • Identify and create a comprehensive map of potential talent sources, including industry competitors, relevant networks, and talent pools.
  • Develop and implement effective strategies to target and engage top talent in the industry.
  • Thoroughly evaluate and profile potential candidates, assessing their qualifications, skills, and cultural fit with the organisation.
  • Cultivate and maintain relationships within the industry to stay updated on emerging talent and market trends.
Recruitment Process Ownership:
  • Follow the recruitment process and update and make recommendations to stay world-class.
  • Collaborate with hiring managers to craft accurate and appealing job descriptions that attract qualified candidates.
  • Oversee the screening and shortlisting process, ensuring candidates meet the defined criteria.
  • Schedule and coordinate interviews, providing a seamless and positive experience for candidates and interviewers.
  • Gather feedback from interviewers and candidates to continuously refine the recruitment process.
Onboarding Coordination and Management:
  • Follow existing onboarding training and develop and implement onboarding plans that help new hires integrate smoothly into the organisation.
  • Facilitate orientation programs to familiarise new employees with company culture, policies, and procedures.
  • Establish a feedback loop with new employees to address onboarding challenges and ensure a positive transition.
Candidate Experience:
  • Conduct surveys to evaluate candidate experience and analyse feedback.
  • Assist with onboarding recruits, including scheduling training and preparing necessary paperwork.
  • Organise referral processes, such as managing referral fees.
  • Prepare reports on new hire metrics, including source-of-hire, time-to-hire, time-to-fill, etc.
  • Coordinate interviews and contact applicants.
  • Prepare job offer letters.
  • Update salary benchmarking sheets and conduct market-related salary reviews.
  • Work with the HR Coordinator to ensure reference and background checks are completed.
Continuous Improvement and Market Insights:
  • Stay informed about industry trends, compensation benchmarks, and emerging talent management practices.
  • Continuously refine and improve talent acquisition and development processes to enhance efficiency and effectiveness.
  • Utilise data and analytics to make informed decisions and proactively identify areas for improvement.
  • Collaborate with leadership and department heads to align talent strategies with organisational goals and objectives.
  • Any other job duties associated with this role.

  • Recruitment, HR, or vendor management experience

What Does Success Look Like?
By month 3:
I will be familiar with our software and internal processes. I will have participated in monthly 1:1s. Additionally, I will have successfully followed the recruitment process and hired the necessary staff with guidance from my team. I will have begun evaluating and profiling potential candidates to assess their qualifications, skills, and cultural fit with the organisation.
By month 6:
I have mastered our software and internal processes and can easily navigate them. I will be accountable for the success of our talent identification and recruitment strategy. I will have adhered to and made recommendations on the recruitment process to attract top talent. Additionally, I will have collaborated with hiring managers to craft accurate and appealing job descriptions that consistently attract qualified candidates. I will have streamlined the screening and shortlisting process, ensuring all candidates meet the defined criteria. By this point, I can confidently manage the entire recruitment process, from start to finish, while continuously gathering feedback from interviewers and candidates to improve our procedures.
By month 12:
I can confidently fulfil my duties and will have achieved remarkable success in talent acquisition. Our talent identification and recruitment process and strategy will be a well-oiled machine, consistently bringing in top talent. I will have successfully coordinated and managed the onboarding of numerous new hires, ensuring a smooth integration into the Company. Our candidate experience will be exceptional, with positive survey results and high satisfaction rates. I will have prepared comprehensive reports on new hire metrics, enabling data-driven decision-making. Our talent acquisition and development processes will have evolved and improved significantly, making us more efficient and effective. I will stay informed about industry trends and collaborate with leadership to align our talent strategies with organisational goals and objectives, ensuring we remain at the forefront of talent management practices.
