Roles & Responsibility
- Ensure that de-briefing and pre-briefing standards are adhered to by ensuring that the Rental agents / Debriefers, Drivers and all related staff perform their duties to the required standard
- Maintain Branch Efficiencies by ensuring that Company and Truck Rental Procedures are implemented and adhered to
- Ensure optimised staff utilisation
- Take full control and responsibility of all staff and their duties
- Ensure all staff follows all Value processes and procedures
- Handling operational queries and problems timeously and efficiently
- Ensure that de-briefers debrief thoroughly according to the Debriefing Procedure
- Ensure that de-briefers check vehicles thoroughly in the logbooks and report damages to the Fleet Manager immediately
- Ensure Customer service levels are met at all times
- Managing Rental Agents to ensure customer service levels are met
- Vehicles are to be prepared and checked the day before the day of hire to ensure vehicles are dispatched on time
- Manage Rental Agents and Dispatcher to ensure customer service levels are met
- Manage De briefers to ensure that contracts are debriefed and closed according to procedure and the customer usage to enable Invoicing to invoice the customer correctly
- Ensure that Rental Agents follow procedures regarding the requirement
- Ensure that thorough debriefing is done according to the Debriefing Procedure
- Ensure Vehicles are thoroughly checked, and damages are clearly indicated in Logbooks according to Logbook and Pre- and Post Inspection Procedures before being dispatched and upon return
- Investigate and resolve customer complaints
- Eliminate turndowns by the Rental Agents sourcing vehicles from other branches to service customers
- Ensure that contracts are issued and completed in full and signed by all relevant. Advise Sales, Call Centre, Branch Manager, and Rental Agents of vehicle availability
- Ensure that vehicles are delivered to customers on time
- Ensure that vehicles are collected from customers on time
- Obtain daily vehicle availability from Rental Agents Ensure that Rental Agents capture the details required on the Rental Agreements (Contracts) in full
- Ensure that Credit Card Rentals are executed in accordance with the Credit Card Rental Procedure
- Check open contracts with Rental Agents and Debriefer to ensure that contracts are closed when hire is complete. Ensure that contracts do not run for longer than one month
- In conjunction with the fleet manager, daily follow-ups with insurance regarding the status of claims should be done
- Ensure that checklists are signed by customers at all times
- The vehicle utilisation report is managed daily
- Ensure that at all times, the national utilisation is updated, controlled and monitored
- Address and respond to customer complaints immediately Follow up within 24 hours
- Ensure that wages are controlled through monitoring time and attendance and labour rates are signed off. Overtime must be strictly controlled and monitored
- Tracking reports must be sent to the tracking control department when a vehicle departs from our yard. The purpose of this report is to ensure that customers pay for vehicles used over the weekend and also to monitor the movement of all vehicles
- Ensure that at least a Tracking unit is installed and that the units work at all times
- As per the organogram, take full control and responsibility of the staff reporting to you and ensure they perform their tasks and duties to the prescribed standards and procedures of Value. Ensure that performance reviews are done as per the Value requirement.
- Where necessary, counsel and discipline if required.
- Where necessary, train and develop staff.
- Telesales are to be conducted regularly to liaise with customer needs and follow up on current and potential hires
- Sales calls are done regularly with the sales reps. Ensure that 5 customers have been visited every week
- Turndowns / Fleet Resources
- Eliminate turndowns by ensuring correct utilisation and keeping a record of turndowns
- Ensure that fleet resource requirements meet the customer demand
- Ensure that fleet resource requirements are met with customer demand
Contracts
- Control of the contract is vitally important. Ensure that no contract is mislaid or lost
- Contracts must be completed in full. Do audits regularly
- Ensure that the contracts regularly filter through to the debriefing and admin departments for closure.
- Ensure that the contracts filed are in the correct files
- Hold regular meetings with staff to ensure that they are familiar with any changes that may occur or any developments that may take place within the Value group
- Ensure that the housekeeping standards are of a high standard
- Assist in operations as and when required
- Handle any invoice queries that arise from time to time
- From time to time, visit the drivers ablutions to ensure proper housekeeping
- Do regular walks in the yard and workshop area
- Matric (Grade 12)
- 5 years of Management Experience in Operations
- Able to develop and implement logistic systems and techniques which will impact the organisation as an administration whole
- Able to manage all functions of logistics in the organisation
- Able to determine and develop a logistic strategy for the entire organisation
- Able to develop new administrative procedures for own department/division
