An upmarket events venue in Johannesburg North has a vacancy for the position of venue events coordinator.
Job responsibilities:
- Supports the guest experience from the venue user’s perspective by establishing, inspiring and maintaining the venue’s experience brand as a core component of the organization’s strategic priorities and daily operations.
- Works under the guidance and the Managing Director & Venue Events Manager to sell the venue as a leading venue to a diverse group of clients.
- Effectively anticipates the needs of and responds promptly to venue clients, vendors and guests, along with communicating their concerns to the Venue Manager & Director.
- Schedules, coordinates and supports the rental and use of the venue for internal and external groups including facility service operations, internal mission driven users and external venue rental clients.
- Processes and tracks payments for venue clients.
- Serves as the primary point of contact to events and venue vendors including following up on payments, required documentation (service, supplier contracts etc.) and any escalated concerns to ensure total compliance with the venue contracts, rules and regulations.
- Provides front line services to guests and venue users.
- Maintains a welcoming environment and demeanour while servicing guests in person, on the phone or via email.
- Assists in the day-to-day operations including generating quotations & service contracts, facilitating venue site visits, answering phones and directing phone calls, following up on enquiries and quotations issued.
- Be knowledgeable of and actively promotes the venues offerings and experiences to guests that meet their needs in order to foster repeat business, grow the existing client base
- Able to work long hours, weekends and public holidays in the case events fall on such days.
Job requirements:
- High School Diploma/Matric or equivalent required.
- Bachelor’s degree in a hospitality & hotel management, events management, project management preferred.
- Minimum of 3 to 5 years of experience events, hospitality, hotel, guest/customer services function in attraction in a corporate, events environment
- Event planning or hospitality services experience preferred.
- Excellent communication skills, both written and verbal.
- Strong organizational and Time Management skills.
- Strong working knowledge of Microsoft and computer skills essential.
- Ability to work independently as well as in a team environment.
- Ability to apply basic mathematical & accounting concepts.
- Ability to solve complex problems and independently make decisions.
- Valid drivers’ license required.
